Sometimes your event organising team lose track when they are deciding on the activities they need to put together to make up the sequence. This is because they may be ignorant of a winning strategy. 

Sequencing is the skill of putting event activities in a logical order that makes an impression, increases participation, and ultimately accomplishes the event’s goal.

One interesting reason why a sequencing strategy is key is because  sequencing ensures that every activity flows naturally into the next, building interest and impact until the big finale. In addition, it is to be able to meet the specific needs of a specific (segmented) audience or guest expected at your event.

Prioritise the Purpose and not the Program

The ‘why’ of the event must be the motivator for every event sequence. Ask yourself, “By the end, what do we want the audience to have learnt, experienced, or accomplished?” After the aim has been established, the activities should be planned to achieve it. For example, begin with a story as an engaging strategy and conclude with a compelling call to action, especially  if the goal is to motivate action.

It is also a sure way of keeping things focused so that no other factor steals or diverts the event from the main aim.

Segment your audience

To segment your audience is to ensure that you have the right audience at your events. It is the process of carefully dividing a certain audience into homogeneous groups based on different criteria such as age group, product usage, etc. It can be used as a communication function or as a marketing function (marketing communication). This is an important aspect in event sequencing because in every event there are heterogeneous audiences and so to be able to drive home your point or achieve your goal, you must be able to appeal to their soft spots or their peculiarities

Establish a natural flow

Create a scenario where the events feel like a journey, especially for the attendees. Place high-energy activities (e.g., performances, keynotes) when their concentration is needed the most, and use breaks, networking, or lighter portions to give them a rest. Avoid lengthy back to back speeches that deplete attention. Even if they are necessary, put them in a time when expectation or suspense is low.
